Privacy Statement

What we collect when you register, buy a ticket or contact us, what we do with it, and what rights you have.

The New Zealand Latin Dance Championships is run by Dance Events Limited. This statement explains what personal information we collect when you register, buy a ticket or contact us, what we do with it, and what rights you have.

We handle personal information in accordance with the Privacy Act 2020.

What we collect

When you register to compete:

  • Your full name, email address and mobile number
  • The dance school or studio you represent, if any
  • Your division and the categories you enter
  • For partnered, duet and team entries: the name of each partner or team member, and their email address if you choose to supply one
  • Your team name and the school a team represents
  • Your Jack & Jill role, where relevant
  • Payment records: the amount, the date, and a Stripe reference

When you buy spectator or party tickets: your name, email and the tickets bought.

When you contact us: whatever you put in the form.

Automatically: we record IP addresses briefly to limit abuse of our forms, and our hosting provider keeps standard server logs. We do not use advertising or analytics tracking, and we do not set tracking cookies.

We never see or store your card details. Payment is handled by Stripe on their own page; we receive only a reference and the amount.

If someone else entered you

If you're competing as someone's partner or in a team, the person who registered and paid gave us your name, and possibly your email address.

We rely on that person having your permission — they confirm it when they register.

We use those details only to run the competition: the running order, the door list, and the organising team's records. We will not email you, add you to a mailing list, or pass your details to anyone outside the event.

If you'd rather we didn't hold your details, or you want to see or correct them, email us and we'll sort it out.

Competitors under 18

Youth competitors are registered by an adult — a parent, guardian, or someone with their permission. That adult confirms this at registration, and they are our point of contact.

We collect no more about a young person than about anyone else: name, and email only if the person registering supplies one. We do not collect dates of birth. Age category is self-declared.

If you're a parent or guardian and want to see, correct or remove your child's details, email us and we'll deal with it promptly.

Why we collect it

  • To register your entry and take payment
  • To build the running order and check competitors in on the day
  • To contact you about your registration, the schedule, and changes
  • To publish results
  • To meet our record-keeping obligations

We do not sell your information, and we do not use it for marketing other than communications about the event you entered.

Who else holds it

We use these service providers to run the event, each of which handles information only as needed to provide their service to us. Some are based overseas:

  • A cloud database and authentication providerthe registration database and the organising team's logins
  • A website hosting provider
  • Stripepayment processing — holds your card details directly; we never do
  • A bot-protection providerchecks our forms are being used by a person
  • An email service providerconfirmation and notification emails
  • A backup storage providerencrypted copies of the database

Sending information overseas is permitted under the Privacy Act where the receiving party is subject to comparable safeguards. These are established providers with their own privacy commitments, and our backups are encrypted.

Beyond that, we share information only with the people running the competition — the organising team, the desk staff and the judges — and only what each needs.

Photography and video

The championships are photographed and filmed, and images may be used to promote future events. See the Terms & Conditions for details. If you'd prefer not to appear, tell us before the event.

Your rights

Under the Privacy Act 2020 you can:

  • Ask what we hold about you, and get a copy
  • Ask us to correct it if it's wrong
  • Ask us to delete it, where we don't need to keep it

Email us and we'll respond within 20 working days.

Keeping it safe

Access to registration data is restricted to the organising team, and each person has their own login with only the access their role needs. The database enforces those restrictions itself, not just the website. Data is encrypted in transit and at rest, and backups are encrypted separately.

No system is perfectly secure. If something went wrong in a way that could cause you serious harm, we'd tell you and notify the Privacy Commissioner, as the law requires.

Talk to us first — info@nzlatindancechampionships.co.nz. If we can't resolve it, you can complain to the Office of the Privacy Commissioner at privacy.org.nz or 0800 803 909.

We'll update this page if what we do changes, and the date at the top will tell you when.
